LCIBS Academic Registry Officer

Introduction Academic Registry Officer Job Purpose: Working as part of the LCIBS overall academic registry team, assist with administration support activities that facilitate the effective running of the academic registry office. Reporting to LCIBS Academic Registry Lead, take responsibility for regular administrative tasks and activities under the guidance of the line manager for the respective areas of academic faculty and academic registry. The post holder must adhere to the College's rigorous policies and procedures for recording, monitoring, analysing and acting upon a range of data including student attendance, punctuality, referrals and academic records. To ensure that confidentiality in observed at all times and abide by the General Data Protection Regulation (2018). Specification Main Duties: Attendance Monitoring Monitor student attendance on a daily basis and record absences on the College's Student Information System (SIS). Administrate student absence forms and monitor student late arrivals and early departures through the collection of relevant forms. Promptly handle absentees daily phone calls, messages and emails. Provide weekly reports on student attendance, absence and lateness patterns. Ensure that the correct Colleges' procedures are followed. Maintain the accuracy of student attendance data in the College's SIS. In liaison with the Academic Registry Lead identify students at risk of leaving the college due to poor attendance records. Timetabling Produce, manage and monitor the central learning and teaching timetable. Provide administrative support for all processes relating to timetabling. Take responsibility for the scheduling and room allocation in our London Campus. Liaise with appropriate colleagues within Registry and across the College to ensure the maintenance of accurate information required for timetabling. Liaise with appropriate colleagues regarding timetabling and registration for new programmes, modules and resource requirements. Provide term dates to the General Manager for SLC purposes. Student Records Assist in student induction and ensure all students have been registered onto appropriate programmes in timely fashion. Administer student records, progression and graduation eligibility of all students within the College's systems. Provide administrative support for student module registration and programme administration processes. Assist in processing student movements and change of circumstances, such as Interruptions, Withdrawals and Change of Programme. Maintain accurate and up to date student academic records. Other To become familiar with the College Policies and Procedures. To be proactive in the role development by reviewing and researching the procedures of the job on an on-going basis to improve service to the students. In accordance with the General Data Protection Act (2018) to respect the confidential nature of information relating to the College and students. Requirements Preferred Qualifications and skills: Educated to degree level. Previous experience working in the education sector (desirable but training will be given). High level of organisational and administrative competency. Excellent interpersonal and communication skills, both written and oral. Excellent team working skills. Positive attitude and ability to plan and adapt to change. Ability to collaborate effectively with various departments and cross-functional teams. Ability to use IT systems effectively to produce reports and record information, including database. High attention to detail.
